We have an exciting opportunity for a Chinese-speaking Finance and Ops Coordinator role in a London-based Marketing & Advertising company. The company is an award-winning digital creative firm with offices in London and China that focuses on developing global brands.

Job Requirements:

  • Minimum of 3 years’ bookkeeping experience.
  • Fully or part‑qualified in AAT, ACCA, CIMA, or an equivalent international qualification.
  • Proficient user of Xero accounting software.
  • Advanced Excel skills with strong data-handling capability.
  • Demonstrates high integrity, reliability, and professional accountability.
  • Exceptionally organised with strong time‑management skills.
  • Meticulous attention to detail, with the ability to stay across key deliverables and identify potential issues early.
  • Proactive and execution‑focused, consistently following through on actions, improvements, and commitments.
  • Strong problem‑solving ability; actively listens, understands operational challenges, and provides practical, timely solutions.
  • Recognised as a dependable go‑to resource for resolving day‑to‑day business issues.

Responsibilities

Job Responsibilities:

• General Bookkeeping (Accounts Payable / Accounts Receivable)

  1. Recording financial transactions in Xero
  2. Preparing and issuing client invoices
  3. Managing credit control activities
  4. Completing monthly credit card reconciliations
  5. Managing banking tasks and twice‑monthly supplier payment runs
  6. Processing monthly staff expenses
  7. Preparing month‑end journals, including prepayments, accruals, and depreciation
  8. Managing quarterly VAT submissions
  9. Processing payroll and pension contributions
  10. Monitoring and maintaining cashflow

• China Office

  1. Coordinating with the China entity accountant
  2. Overseeing China payroll through the local accountant
  3. Managing China recharge processes

• Client

  1. Reconciling client advertising spend
  2. Reviewing and approving purchase orders

• Reporting

  1. Preparing client profitability reports
  2. Conducting productivity analysis

• HR

  1. Managing holiday records
  2. Coordinating onboarding and offboarding processes
  3. Overseeing company insurance requirements
  4. Supporting visa application processes
  5. Managing software and hardware subscriptions

• Operations

  1. Preparing agency staff utilisation reports
  2. Preparing agency client profitability reports
  3. Managing Chilli (agency management tool)
  4. Overseeing company drive organisation and maintenance
  5. Coordinating creative team traffic and utilisation
